Nationwide Technician Dispatch

Fifty calendars. One country. Under two seconds.

AGD Serwis runs a nationwide dispatch network for home appliance technicians across Poland. With around fifty independent technicians spread out across the country, coordinating availability used to mean phone calls, spreadsheets, and guesswork.

We built an n8n automation engine that reads every technician's calendar in parallel, ranks open slots by location and skill, and returns live availability in under two seconds. powering both an internal dispatcher dashboard and a booking widget embedded directly on the company website.

Dispatching a country by phone doesn't scale

Every booking started the same way: a customer called dispatch and manually entered the job into a calendar. With fifty technicians covering all of Poland, a single availability check could take minutes and customers on the website basically had no way to self-serve at all.

Double-bookings happened when two dispatchers queried the same technician simultaneously. And as call volume grew, the team couldn't add headcount fast enough to keep up.

n8n as the single source of truth

The automation engine sits between every entry point and every technician calendar. When a request comes in from the dispatcher dashboard or the public booking widget, n8n fires parallel queries against all ~50 calendars, filters by service zone and appliance type, and aggregates the results into a ranked list of open slots.

The entire round-trip completes in under two seconds. No manual lookups, no stale data. When a slot is confirmed, the system locks it in the technician's calendar and logs the job.

Dispatchers and customers, same live data

Dispatchers use an internal admin dashboard to search availability and assign jobs. They no longer need to manually check technicians schedules, the system already knows.

Customers on the AGD Serwis websites use an embedded booking widget that shows real open slots for their area and appliance type. They pick a time, confirm, and the visit lands on the right technician's calendar without a single phone call to the dispatch

Built for volume, built to stay fast

The n8n workflows handle roughly 58,000 executions per month. Availability checks, booking confirmations, calendar locks, and zone lookups running continuously during business hours across the country.

Calendar queries run in parallel rather than sequentially, which is what keeps response times under two seconds even with fifty calendars in the pool. Service zone logic filters technicians before the calendar call, so the engine never wastes time on technicians outside the customer's area.

Both the dispatcher dashboard and the website widget hit the same API endpoints backed by n8n, so there's no drift between what dispatchers see and what customers book.
